Vendor Registration

Thank you for your interest in selling at Bracken Village Market Days.

By submitting an application and participating in Bracken Village Market Days, I acknowledge and agree to the following:

Setup & Market Hours
• I understand vendor setup time is 7:00 AM – 9:00 AM
• I will be fully set up and ready for customers by 9:15 AM
• Market hours are 9:30 AM – 1:30 PM
• I will not begin tear down before 1:30 PM
• Early breakdown may affect my ability to participate in future markets

Vehicles & Parking
• I will drive slowly and carefully while on the property
• I will unload quickly and move my vehicle to designated vendor parking
• I understand vendor vehicles are not allowed in the market area during public hours
• I will follow all parking and traffic directions from Bracken Village

Booth Requirements
• I will bring a 10x10 straight-leg canopy in good condition
• I will use 40 lb weights on each canopy leg (required)
• Weights must be secured and cannot slide off due to safety reasons
• Bracken Village may prohibit canopies during unsafe wind conditions
• I will bring my own tables, chairs, displays, and supplies
• Electricity and water are not provided

Vendors without proper weights or safe setup may be asked to leave without refund.

Vendors are responsible for their own booth safety, canopy anchoring, equipment, products, food handling and accepts all risks associated with an outdoor event.

Space & Conduct
• I will remain within my assigned 10x10 space
• I will not place signs, tables, or products outside my booth
• I will not solicit customers or other vendors outside my space
• I will display my business name clearly at my booth
• I will behave respectfully toward customers, vendors, and Bracken Village
• Any disputes will be handled privately with the Bracken Village Manager

Disruptive or unsafe behavior may result in removal or banning from future markets.

Products & Approval
• I will only sell products approved in my application
• I will request approval before adding new products
• I understand Bracken Village may limit duplicate vendors or product types

The following items are not permitted:
• Drugs or drug-related products
• CBD products
• Weapons or firearms
• Alcohol
• Politically sensitive products
• Sexual or explicit materials
• Tarot cards, ouija boards, or similar items
• Anything deemed unsafe, offensive, or not family-friendly

Bracken Village reserves the right to ask vendors to remove unapproved or inappropriate items.

Permits, Taxes & Insurance
• I am responsible for complying with all local and Texas state laws
• Businesses (excluding retail, cottage food, or nonprofits) must provide a Sales Tax Permit
• Food trucks must provide proper permits and proof of liability insurance
• I may be asked to provide proof of insurance

Cleanup Responsibilities
• I will keep my booth area clean
• I will take all trash and debris with me
• I will not use Bracken Village dumpsters
• I will leave my space as clean as I found it

Failure to clean my space may affect future participation.

Liability, Risk & Indemnification
• Vendor participates entirely at Vendor’s own risk. Bracken Village, its owners, managers, staff, agents, and affiliates, are not responsible for any injury, illness, loss, theft, or damage to persons, property, merchandise, equipment, vehicles, or business operations arising from or related to participation in the market.
• Vendor is responsible for any damage caused to Bracken Village property, buildings, landscaping, utilities, or infrastructure by vendor, their helpers, or equipment.

Fees, Approval & Participation
• I understand my application is confirmed only after approval, required documents, and payment are received
• Vendor fees are nonrefundable once my space is reserved – no makeup dates or credits given

Weather
• Market Days are held rain or shine
• I am responsible for preparing for weather conditions
• Severe weather cancellations will be communicated as early as possible

No Show Policy
• If you can not attend a market, you must notify Bracken Village. No refunds will be given.

Photo & Media Release
• By participating, Vendor grants Bracken Village permission to photograph and video vendor booths, products, logos, and activities for marketing and promotional use without compensation.

Agreement
• By participating in Bracken Village Market Days, I confirm that I have read, understand, and agree to follow all rules and guidelines listed above.
